At IB Gaming World Inc. (ibvrzone.com), we strive to deliver an amazing virtual-reality experience for every guest. Because our services are based on reserved playtime and staffing, our refund and cancellation terms differ from those for physical products.
All bookings, sessions, and events at IBVR Zone represent a reservation for a specific date and time. When you make a booking, our system allocates equipment, game stations, and staff exclusively for your group. For this reason, our refund and cancellation policy applies to ensure fair access and smooth scheduling for all customers.
Cancellations & Rescheduling
Standard Notice (48 Hours):
We understand that plans can change! If you need to cancel or reschedule your booking, please notify us at least 48 hours in advance.

Within 48 Hours of Your Booking:
If you cancel within 48 hours of your scheduled session, we’ll do our best to accommodate you by offering an alternative time slot (subject to availability).
Because short-notice changes can leave us with unused capacity, any reschedule within 48 hours may be subject to an administrative adjustment or a partial credit rather than a full refund.
No-Shows:
If you don’t arrive for your scheduled session and we haven’t heard from you, our staff will attempt to contact you to help reschedule or fit you into another available time the same day.
If we cannot reach you, or if you cannot attend later that day, the booking will be considered completed, and the payment will be non-refundable.
Refunds
Refunds may be issued only in limited circumstances, such as:
A verified system or equipment failure that prevented your session from running; or
A cancellation made more than 48 hours before your scheduled time.
Approved refunds will be processed back to your original payment method within 5-10 business days, depending on your financial institution.
Gift Cards & Promotional Vouchers
All gift cards, promo codes, and discount vouchers are non-refundable and hold no cash value. They may, however, be transferred to another recipient for future use unless otherwise stated on the card or promotion.
Group, Birthday & Corporate Events
All deposits for group, birthday, or corporate event bookings are non-refundable. When you reserve a time slot, that period is held exclusively for your group, and other guests are unable to book it.
If you need to reschedule, please contact us at least 48 hours before your scheduled event. We will do our best to accommodate a new date and time based on availability.
In the event of a no-show or cancellation within 48 hours, the deposit will be considered forfeited and the booking marked as completed. However, if we can reach you and there is availability, we’ll gladly help you rebook for a later session using the same deposit.
